Job title: Publishing Project Manager

Reports to: Publishing Manager

Overall purpose: Under the direction of the Publishing Manager and Project Sponsors, to project manage the product development for OPP’s training materials and printed products, including translations.

The role will involve managing several on-going projects across OPP Limited.

Scope: The post holder works within the Publishing team, which sits within the Innovation and Publishing Department in Oxford, England. Whilst the post is based in the Oxford office, projects assigned will require work with virtual project teams, including US and European colleagues and clients.

The Publishing Team delivers a high-quality editorial, translation (currently c.20 languages), layout, production and print service on printed products, training materials, consultancy solution materials and electronic products. This post will primarily be involved in printed products, training materials and consultancy solution materials.

Principal accountabilities:

1. To oversee and simultaneously project manage several projects across OPP. Tasks will include:

  • Establishing project scope and business requirements as directed, working with Project Sponsors, Programme Managers, Line Managers and members of Project Teams. Project Teams may consist of members of the Learning Delivery Team, Consultants, R&D Consultants, Design, Marketing, other members of the Publishing Team, Learning Coordinators, staff based in OPP European Offices and distributors.
  • Responsible for preparing project documentation (proposals, detailed investigations) to fully summarise the scope, business benefits, resource requirements, costs, project plans etc., managing the input from key stakeholders.
  • Work with Project Teams, stakeholders and line managers in the UK and overseas to obtain resources for project developments, ensuring that resource estimates and schedule projections are accurate and realistic.
  • Generating estimates and budgets in consultation with Project Teams, stakeholders and line managers and internal and external customers.
  • Organising and chairing regular project meetings, as, as required.
  • Continuously planning and managing the delivery of tasks throughout the life of the project, communicating any changes to Project Team members, line managers, other stakeholders and escalating significant issues to the Project Sponsor.
  • Mitigating and resolving where possible risks and issues by working closely with Project Teams, the Project Board and other internal and external staff as necessary.
  • Ensuring budgeted costs and timescales are maintained and advising budget holders of any projected variances.
  • Documenting project progress, including accurate monthly reporting on the status of own projects.
  • Communicating project progress to the Publishing Manager, Project Teams, stakeholders, line managers and internal customers, including the writing of monthly reports for the Project Board.
  • Conducting project reviews, to identify lessons learned and areas for future improvement.

2. Under the direction of the Publishing Manager, and in close collaboration with the E&T Manager, the I&P Programme Office and other operational managers, create, administer and oversee a resource plan for the Publishing Team. This will need to take into account the publishing projects (above), but also other projects which require resources from the Publishing Team (particularly e-product and marketing projects) as well as business as usual (e.g. reprints).

3. To help promote and support the OPP Project Management and Publishing Department Processes across OPP:

  • Provide project management training and support and publishing expertise to project team members within OPP as required.
  • To be an ambassador of the OPP Project Management Process and the Publishing Department.
  • Contribute to the on-going evolution of the OPP Project Management Process and the Publishing Department Processes, including documentation.

Essential competencies

  • Degree (or equivalent through experience and professional qualifications)
  • Publishing experience, preferably in an environment with complex content
  • Managing large projects that require resources from across the business and building project teams where necessary.
  • Experience of following project management processes, with budgeting and scheduling experience
  • Working with multi-disciplinary teams.
  • Experience of managing multiple projects
